A senior reviewer on every job

Problem

A junior reviewer checks each prepared job, then a senior has to check the junior’s review before anything is signed off, and that senior standard lives in a few people’s heads. The work runs across Xero, XPM, SharePoint and Karbon and none of them check each other, so a miss (a workpaper that does not reconcile, a document filed against the wrong template) only surfaces when someone senior happens to catch it.

Solution

An operating layer across all four systems that applies the firm’s own senior-review standard. The agent checks the junior reviewer’s work the way a senior would, sends it back to the junior reviewer with specific notes, and escalates only the calls that genuinely need a partner’s judgement. Deterministic checks reconcile the numbers, the agent reviews the rest, a human signs off.

Client grades in every campaign

Problem

Karbon’s built-in Mailchimp sync carried names and emails, nothing else. The team grades every client A to D and tracks operational fields like payroll and BAS frequency, and none of it reached Mailchimp. Every campaign went out blind.

Solution

We replaced the native sync with a webhook pipeline that pushes the A-to-D grades and nine custom fields into Mailchimp in real time. They segment on the data they actually keep now. His words on handover: easy to use and intuitive.

Lead to signed, without the chase

Problem

Winning and onboarding a new client ran across eleven separate steps and none of them joined up. No single place to capture an enquiry, price the work, send the engagement letter, or open the file. Documents got chased over email, and where the leads actually came from was a guess.

Solution

One zero-touch run from first enquiry to a signed client in Karbon. A quote form prices the work in real time off the practice’s own fee schedule, the engagement letter sends the moment a lead is captured, and an intake form looks up the ABN on its own. The team meets the new client instead of chasing forms, and a dashboard shows which sources actually win work.

Calls and email, triaged before reception

Problem

Across the clinics, reception can’t be on the phone and with the patient at the counter at the same time. Calls stack up at the busy hours and the inbox fills with appointment requests, results queries and admin, and the front desk sorts all of it by hand while people wait.

Solution

A voice and email layer that answers the routine calls, books and reschedules against the live calendar, and routes every inbound email to the right place before a person sees it. The predictable traffic is handled deterministically and anything clinical or unclear is flagged for a human, never guessed at. Patient data stays in the clinics’ own region, and reception spends the day with the people in the room.
